5K Fundraiser T Shirts: What to Print and When to Order
A charity 5K looks like one shirt order. It is really three: the shirt the runners wear home, the shirt that tells everyone who is working the course, and the sponsor back that paid for both.
For 5K fundraiser t shirts, screen print one or two color art on the runner tee, put volunteers in a different color, tier sponsor logos by size on the back, and order sizes from a size field on your registration form. For a Thanksgiving morning race on November 26, 2026, get the proof approved by about Friday, November 6.

What a 5K fundraiser t shirt order really includes
Three orders, one quote. The runner shirt is the one everyone pictures. The crew shirt makes race morning run. The sponsor back paid for the morning.
Plan all three together and they share one proof, one delivery and one deadline. That is how we build fundraiser and event apparel: the runners, the crew and the sponsors on the same quote, approved on the same proof.
Turkey trots, December holiday runs and spring fun runs all behave the same way. The date never moves. The headcount moves until registration closes. The sponsor list keeps growing right up to the week you need it frozen. Good 5K fundraiser t shirts come from making those three hold still long enough to print.
If you are lacing up too, not just running the event, here is what we wear to the Scottsdale Turkey Trot. Different job, same cold morning.
Printing the runner shirt
Screen print it if the art is one or two colors and the run is big. Use DTF if the art is full color, the run is small, or the garments are mixed.
Most race shirts carry a date, a charity name and a simple mark. That is exactly what screen printed tees do best: solid, opaque ink on cotton or blend tees, the same on the last shirt as the first. Keep the color count low. Every extra ink is another screen to set up, and on a fundraiser that money belongs to the cause.
Full color art changes the answer. A photo, a gradient or an illustration with many shades is a job for DTF transfers for full color art. DTF also earns its place when the order mixes youth tees, tanks and long sleeves under one design, because the transfer does not care that the garments are different.
The blank matters more than most committees think. A soft, well cut tee gets worn to the gym long after race day and carries the charity name with it. For the hand and fit we aim for, look at the tees in our PILLAR men's line.
Pick the garment first, then design to it. Art that pops on white can vanish on heather gray.
The sponsor back
Freeze the sponsor list before the proof, tier logos by size, and keep the front for the race. That is the whole system.
The back of a race shirt is where sponsors see a return on their check. It is also where most race orders stall. A new sponsor signs on after the proof is approved, the back gets rebuilt, and the clock starts over. Set a sponsor cutoff and tell every sponsor that date the day they commit.
Tier the back the way you tiered the sponsorship. Presenting sponsor largest at the top, a row of mid level logos under it, then the smaller names in a tight grid at the bottom.
Sponsors buy the back. Runners wear the front. Design each side for the person who cares about it.
Ask for logo files when the sponsor signs, not when you are building the back. Vector art prints clean. A logo saved off a homepage rarely does.
Counting back from race day
For a Thanksgiving morning race on Thursday, November 26, 2026, have the proof approved by about Friday, November 6. That puts shirts in hand by Friday, November 20.
Decorated orders run 7 to 10 business days from proof approval, and we plan off the long end. Ten business days back from November 20 lands on November 6. Art and the final sponsor list come in the week before that, so proof changes settle in time. If the shirts ship to you, add shipping time on top.
| Race day | Shirts in hand target | Proof approved by | Art and sponsor list in |
|---|---|---|---|
| Thursday, November 26, 2026 (Thanksgiving) | Friday, November 20 | Friday, November 6 | The week before November 6 |
Treat these as planning targets we work backward from. We do not promise a delivery date. Rush is available upon approval if your calendar is already tighter than this.
A December race follows the same math. Count 10 business days back from the day you need shirts in hand, then back off further for shipping and for Thanksgiving week. The full method lives in our piece on counting back from a hand out date.
First race order with us? Here is how an order moves from quote to proof, so the committee knows what each approval unlocks.
Sizing from the registration form
Add a shirt size field to registration and order from those counts. Then hold a small buffer of middle sizes for walk up registrations.
Guessing is how a race ends up with a box of extra 2XL and no mediums. One more required field on the registration form gives you real counts by size.
Pull the counts on the day you place the order, not a week earlier. Late registrations still move the numbers.
The buffer belongs in the middle of the size run, mediums and larges, where a walk up runner is most likely to land. Skip the buffer on the edge sizes.
Give youth sizes their own option if the race has a kids division or a family category. An adult small is not a youth large. The same thinking works for any group order, and we go deeper on sizing a group order without guessing.
Volunteers, staff and the cold start
Put volunteers in a different color than the runners so anyone on the course can find help at a glance. Then give the crew something warm.
The volunteer shirt has one job: be easy to spot. If runners are in white or heather, put the crew in a saturated color that reads from the far end of a parking lot. Print VOLUNTEER or STAFF large on the back. Same art, swapped colors, one proof.
Turkey trot volunteers show up before sunrise and stand at a corner for hours. A logo beanie or hat is the piece they remember, and it keeps showing your charity every cold morning after. Our guide to embroidered beanies for the volunteer crew covers the knits and placement.
Hat embroidery is priced per piece for the decoration: $8.50 each at 24 to 47 pieces, $7.50 each at 48 to 71 pieces, plus a $35 one time new logo setup. The hats themselves are priced in your quote. We keep the file on record after that first setup, so next year's race reorders without rebuilding the logo.
Race shirt questions
Q1How many shirts should we order for a 5K?
Order from the size counts on your registration form, then add a small buffer of mediums and larges for walk up registrations. Put your volunteer and staff count on a separate line in a different color.
Q2Should volunteers wear a different color than runners?
Yes. A different color lets runners and families find help on the course quickly. Keep the same art and print VOLUNTEER or STAFF large on the back.
Q3Can sponsor logos go on the back of race shirts?
Yes, and that is where they belong. Freeze the sponsor list before the proof, collect vector logo files, and size logos by sponsorship tier so the presenting sponsor reads first.
Q4Should race shirts be screen printed or DTF?
Screen print one or two color designs on a large run of cotton or blend tees. Use DTF transfers for full color art, small runs, or orders that mix tees, tanks and long sleeves.
Q5Is there a minimum order for race shirts?
No. There are no minimums, so you can order a short run of staff shirts or outfit the entire field. We ship nationwide.
Q6How late can we order shirts for a Thanksgiving race?
For a race on Thursday, November 26, 2026, aim to approve the proof by about Friday, November 6, with art and the final sponsor list in the week before. Decorated orders take 7 to 10 business days from proof approval, plus shipping. Rush is available upon approval.
