Put the school mark on the left chest, and keep it simple
The left chest carries the primary school mark. A sleeve hit is the right place for the sport name or the year. That split keeps every coach in the department on one chest logo while still telling basketball apart from wrestling.
Thread color is where school apparel goes wrong. Every order gets a proof showing placement, size and the exact thread colors before production, so check the school colors there, side by side with your athletic logo, before you approve. Keep small text out of the chest logo; a tagline or a tiny "Est." line fills in at a three to four inch width, and here is why small text does not hold up in thread.

What coaches polos cost to decorate
Embroidery is priced per piece by quantity, so the more pieces in one order, the lower the decoration price on each. These are decoration prices only, for standard embroidery up to 6,000 stitches. The garment is quoted separately.

Worked example: two sports, one order
A department outfits 12 coaches across two sports, 6 on basketball and 6 on wrestling, each with a polo and a cap. In one order, 12 polos sit in the 9 to 23 tier at $8.50 each, which is $102.00. Twelve caps at $10.75 each is $129.00. Add the $35 setup and decoration comes to $266.00.
Split that into two orders of 6 and each one drops to the 1 to 8 tier: $10.75 per polo and $13.25 per cap, or $144.00 per sport and $288.00 for both before setup. Combining the sports saves $57.00 in decoration on the same 24 pieces. Booster clubs buying for several programs should gather every staff into one order for exactly this reason.
When it finishes if you approve the proof this month
Decorated orders finish in 7 to 10 business days from proof approval, the standard clock for custom embroidery on stock garments. The clock starts when you approve the proof, not when you first ask for a quote.

The November 16 window counts Thanksgiving Thursday and Friday as off days. These are finish windows, not delivery dates; shipping time is added after.
The January row is the one for spring sports. Baseball, softball and track staffs that approve in early January have their gear finished well before late winter openers, with room left over if a coach is hired after the holidays.

Adding a coach mid season is a reorder
Because the logo file stays on record, a new assistant or a volunteer is a small reorder with no new setup for the same logo. Send the size and the garment, approve the proof, and the new piece matches the rest of the staff. There are no minimums, so one polo is a real order.
The same file works on more than polos. Staffs that coach outdoors in the cold often add a vest over the polo for cold mornings, and coaches who live in a quarter zip should read what to wear under a quarter zip before they choose the base layer.
